Why is my data stored?

When you supply your personal details to Eight Yoga they are stored and processed for four reasons:

  1. Personal information about your health is required in order to provide you with the best possible yoga teaching.  Your requesting yoga teaching and our agreement to provide it constitutes a contract.  You can, of course, refuse to provide the information, but doing so would prevent Eight Yoga from providing yoga teaching.
  2. We have a “Legitimate Interest” in collecting that information because without it we couldn’t do our job effectively and safely.
  3. We also think that it is important that we can contact you in order to confirm your lessons or events or to update you on matters related to your yoga lessons.  This constitutes “Legitimate Interest”, but this time it is your legitimate interest.
  4. We may send you information about upcoming Eight Yoga events and lessons by email.  You may withdraw consent at any time by emailing diane@eightyoga.co.uk.

For how long is my data stored?

Eight Yoga has a legal obligation to retain your records for 8 years after your most recent lesson for insurance purposes.  After this period you can ask us to delete your records.  Otherwise, we will retain your records indefinitely in order to provide you with the best possible teaching should you return in the future.

Where is my data stored?

Paper Health Screen forms are scanned and stored electronically.  The paper forms are then shredded.  Emailed forms are also stored electronically.  Access to personal data is password protected and the passwords are changed regularly.  Your contact details are stored electronically on a password protected computer and locked iPhone, the password and lock codes are changed regularly.

Who has access to my data?

We will never share your personal data with anyone without your consent. Only Eight Yoga will have access to your data.

If you have declared a medical condition or injury, Eight Yoga may need to consult with a Senior Iyengar Yoga Teacher to confirm that Eight Yoga classes are suitable, or to gain specific advice regarding any recommended modifications for safe practice.

Your contact details are needed by Eight Yoga to communicate with you about current and future classes and events.  Your details will not be shared with any third party without your consent.

You have the right to see what personal data of yours we hold, and you can also ask us to correct any factual errors.  Provided the legal minimum period has elapsed, you can also ask us to erase your records.

Who can I contact about my data?

We want you to be absolutely confident that we are treating your personal data responsibly, and that we are doing everything we can to make sure that no-one without a genuine need to do so can access that data.  Of course, if you feel that we are mishandling your personal data, you have the right to complain.

Can I opt out of being in any marketing photographs?

Very occasionally, Eight Yoga may wish to take photographs during a class or event.  This is solely for Eight Yoga marketing purposes and you would always be informed before any photographs were taken.  If you do not wish to appear in any photographs, you have the right to deny consent.  This issue is taken very seriously and your image would never be used against your wishes.

How do I opt out of receiving communication from Eight Yoga?

Simply email ‘unsubscribe’ in the subject heading to diane@eightyoga.co.uk.

Your contact details will be removed from our address book and you will not be contacted again, unless you get back in touch and request a reply.  As explained above, any Health Screen form will be retained for the appropriate period.
